Job Description
Job Overview:
The Executive Assistant will provide high-level administrative support to the Managing Director (MD) while also playing a key role in HR and compliance oversight. This position requires a proactive, organized, and detail-oriented individual with excellent interpersonal skills, capable of managing multiple priorities and fostering cross-functional collaboration across departments.

Duties and Responsibilities:
Oversee end-to-end HR functions, including recruitment, maintaining a strong talent pipeline, onboarding, and offboarding. Manage performance cycles through structured appraisals, regular evaluations, and ongoing feedback aligned with defined job roles. Oversee employee relations and benefits administration, ensuring effective conflict resolution and a supportive work culture that promotes diversity, equity, and inclusion. Collaborate with department heads to identify training needs and coordinate training sessions. Develop, implement, and update HR policies and procedures in compliance with local labor laws and internal standards. Liaise with all departments to gather updates, flag pending items, and follow up on outstanding deliverables for the MD. Coordinate internal meetings, prepare and circulate agendas, and document meeting minutes as required. Prepare various reports, presentations, and documentation for the MD. Streamline administrative procedures to improve organizational efficiency. Handle confidential employee and company information with utmost discretion. Develop and maintain internal compliance frameworks, ensuring all teams adhere to company policies and procedures. Conduct regular compliance audits to identify risks, policy violations, and areas for improvement. Document audit findings and prepare risk mitigation strategies for management review. Provide ongoing support and training to employees on compliance requirements and standards. Track and evaluate internal compliance trends and recommend continuous improvements. Ensure policy alignment across departments and proactively monitor for adherence. Provide comprehensive administrative support to the Managing Director, including calendar and meeting management, email oversight and task prioritization, preparation of documents, briefings, and presentations, proactive handling of follow-ups and correspondence. Review and monitor client-related documents and ensure timely follow-up by the client support team. Act as a liaison between the MD and internal departments, clients, and external stakeholders. Handle sensitive tasks and information with discretion and professionalism. Ensure smooth day-to-day workflow for the MD by anticipating needs and coordinating deliverables accordingly.

Required Qualifications:
Bachelor’s degree in Business Administration, or a related field (preferred). Prior experience in Human Resources, Executive support and/or Business Administration. Excellent communication and interpersonal skills. High level of attention to detail and organizational skills. Ability to handle confidential information with discretion and professionalism. Ability to multitask and manage deadlines effectively. Advanced-level proficiency in English and at least one Nigerian local language.

Educational Background:
Bachelor’s degree in Business Administration, or a related field (preferred).

Experience:
Prior experience in Human Resources, Executive support and/or Business Administration.

Languages:
Advanced-level proficiency in English and at least one Nigerian local language.
